How we look after your information and your dog’s records.

Who is responsible for your information
High Weald Clinical Canine Massage is the data controller for the information described here. You can contact us at info@highwealdcaninemassage.co.uk or 07917 384755.
Enquiries through this website
When you send the enquiry form, your name, email address, optional phone number, dog's name, area, preferred times and message are saved in the practice's private enquiry inbox, together with the date you acknowledged this notice. Shanice uses these details to reply and discuss a possible appointment.
An enquiry is not a confirmed appointment and does not replace veterinary or treatment consent. Please avoid sending information that is not needed to discuss your dog's care. If you do not go on to become a client, your enquiry is deleted within 12 months.
Client and treatment records
If you book an appointment, the practice keeps a client record to deliver and evidence your dog's care. This includes:
- About you: your name, address, email, telephone number, an emergency contact, how you found the practice, and a record of the consents you have given.
- About your dog: name, breed, age, sex, neuter status, weight, colour and markings, temperament notes, medical history, current medications, allergies, and insurance provider and policy number where you supply them.
- Treatment records: consultation and session notes, assessment findings, body-chart annotations, homecare plans, and photographs or video of your dog where these are clinically useful.
- Veterinary consent and referrals: your dog's veterinary practice details and the consent or referral documents required before treatment.
- Administration: appointments, invoices, payment records and a log of our correspondence.
Why we hold it, and our lawful basis
- To provide treatment you have asked for — performance of our contract with you.
- To obtain and record veterinary consent — a legal and professional requirement before a dog may be treated by a musculoskeletal therapist.
- To keep financial records — our legal obligation under tax law.
- To run the practice safely — our legitimate interests in continuity of care, insurance, handling complaints and keeping our professional records.
- Marketing — only with your consent, which you can withdraw at any time.
- Photographs used publicly — only with your separate, explicit consent. Clinical images are never published without it.
Who we share it with
We share your dog's information with your veterinary practice, because veterinary consent is required before treatment and because your vet may need our findings to inform their own care. We do not sell your information, and we do not share it for advertising.
We may share information with our insurer or professional association where a complaint or claim requires it, and with HMRC or another authority where the law requires it.
The services we use
A few external providers help us run the practice. The website is hosted by Netlify, and records are kept in a secure private database provided by Supabase. Cloudflare Turnstile checks the enquiry form for spam. Typefaces are loaded from Google Fonts. They act on our instructions and may not use your information for their own purposes.
This site uses no analytics, advertising or tracking cookies.
How long we keep it
- Treatment and clinical records: 7 years after your dog's last appointment.
- Financial records: 6 years, as required for tax purposes.
- Enquiries that do not become appointments: 12 months.
After these periods the records are deleted.
Your rights
You have the right to ask for a copy of the information we hold about you, to have it corrected if it is wrong, to ask us to delete it, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on your consent, you may withdraw it at any time.
Some of these rights are limited while we still need the records — for example, we cannot delete a treatment record we are professionally or legally required to keep. We will always explain our reasons.
To make a request, contact info@highwealdcaninemassage.co.uk. We will respond within one month.
Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
